The Assistant to the Chief Executive Officer will support the President & CEO by performing duties assigned or delegated to implement services designed to meet the needs of all constituents of RGA. Perform advanced, complex, diversified, highly responsible and confidential administrative support activities to the Chief Executive Officer.
Responsibilities
- Performs advanced and complex administrative support duties which include, but not limited to; creating/preparing general to complex correspondence and spreadsheets, preparing varied and complex reports, creating/designing general to complex PowerPoint presentations and presentation materials, scheduling and maintaining complex schedules in Outlook calendar, and overseeing and coordinating internal and external events.
- Coordinates meetings, itineraries and arrangements for the Executive Council and on site Board of Director meetings; Performs highly advanced administrative support duties which include, but not limited to; coordinating complex and rapidly-changing travel and accommodations and coordinating/scheduling meetings and conference calls for the Chief Executive Officer and the others as required.
- Maintains knowledge and understanding of key internal associates and external clients who interact with the President & CEO.
- Coordinates executive-level internal and external communications which includes; fielding incoming phone calls, returning phone calls, responding to voice-mails, resolution of routine and complex inquiries, managing incoming e-mails by forwarding and responding to e-mails as appropriate, and creating and mailing letters, and memos on behalf of CEO.
- Organizes and maintains CEO’s correspondence and records; follows up on pending matters with limited direction.
- Collaborates with Executive Assistants and other executives (both internal and external).
- Acts as project manager for EC meetings and events, which may include planning and coordinating multiple presentations and dissemination of information.
- Oversees and performs office management duties which include coordinating department payroll/HR paperwork with HR.
Requirements
Education and Experience
Required:
- Associate or Bachelors degree, or equivalent experience
- 10+ years secretary and administrative experience
Preferred:
- Associate’s or Bachelor’s Degree
- Experience in insurance/reinsurance
Skills and Abilities
Required:
- Advanced Word, Intermediate Excel and PowerPoint skills
Basic math skills - Comprehensive experience, skill and knowledge of the policies and practices of RGA Re
- Advanced ability to maintain a high level of tact, integrity and confidentiality
- Advanced ability to demonstrate a positive and professional image
- Ability to be flexible when needed, take initiative, and demonstrate accountability
- Intermediate oral and written communication skills demonstrating ability to share and impart knowledge.
