The Senior Administrative Assistant, under immediate supervision, performs comprehensive, highly responsible and confidential secretarial and administrative support activities to department/division management.

Responsibilities

  • Performs advanced secretarial and administrative support duties which include, but not limited to; creating/preparing general to advanced correspondence, spreadsheets and reports, creating/designing general to advanced PowerPoint presentations and presentation materials, coordinating travel and submitting expense reports, internal and external events, coordinating/scheduling meetings and conference calls, and scheduling and maintaining Outlook calendars. Compiling department reports and statistics.
  • Performs general administrative support as needed, including maintaining periodical subscriptions, distributing mail, and archiving/storing departmental records, ordering department’s office supplies. duties which include, but not limited to; opening and distributing mail, preparing outgoing mail, filing and file maintenance, handling incoming calls and making outgoing calls, planning department staff events, and e-mailing, copying, faxing and scanning.
  • Performs department records management duties (electronic and paper), including organizing, retrieval, archiving and storage.
  • Oversees and performs office management duties which includes handling coordination of department payroll/HR paperwork with HR.
  • Maintains department Sharepoint site.
  • Handles department office equipment and furniture maintenance calls and orders office supplies.
  • Provides support on special projects, as needed
  • Maintains regular and predictable attendance
  • Performs other duties as assigned

Requirements

Education and Experience

  • Required: High school diploma, GED or equivalent experience
  • 5+ years administrative experience

Preferred:

  • Bachelor’s Degree or equivalent,
  • Experience in insurance/reinsurance, prior project management experience

  • Advanced Word, Basic Excel and PowerPoint skills
  • Superior organizational skills and militant attention to detail
  • Basic project management skills and knowledge of project accounting
  • Ability to be flexible when needed, take initiative, and demonstrate accountability.
  • Advanced oral and written communication skills demonstrating ability to share and impart knowledge.
  • Advanced grammatical and proofreading skills
